Position summary

GM Global Philanthropy is seeking a Grant Management Coordinator/Global Corporate Giving. Position is located in the headquarters office in Detroit, Michigan. The grant coordinator will report to the director of GM Global Philanthropy & Corporate Giving.


An integral member of the team, the coordinator will work in a fast-paced environment and deal extensively with global contacts within GM as well as external partners and various community organizations. The coordinator will be responsible for carrying out a variety of administrative activities related to the grant management and general charitable giving operations functions. This person must be extremely well organized, flexible and enjoy the administrative challenges of supporting a department involved in the community.


Major Duties/Responsibilities:

  • Gatekeeper for internal and external Foundation & Corporate Giving inquiries and requests
  • Heavy calendar management, requiring interaction with both internal and external partners
  • General office administration including correspondence, coordination of meetings and staff support (i.e. ordering supplies)
  • Development of PowerPoint presentations and special projects associated with charitable programs administered through the Foundation
  • Assist in all stages of grants management and help track all data for grant making in our CyberGrants database
  • Track grant making process from beginning to end, including application review, granting and award letters, grant payments, and grant reports and outcomes
  • Provide contact management, reporting, and workflow tools for the department
  • Review and respond to incoming mail and email
  • Assist in the coordination of GM’s involvement in philanthropic events
  • Coordinate philanthropic survey responses
  • Coordinate signature volunteer projects with teamGM Cares

Grant Administration Responsibilities:
  • Write and process grant agreements. Follow up on outstanding grant checks. Prepare grants for payment
  • Analyze budget and expenditure reports. Maintain multi-year payment schedules and monitor grant balances
  • Encourages the efficient flow of grants through their life cycles, ensuring proposal and reporting compliance, adherence to grant agreements, and timely/accurate processing
  • Create and maintain electronic and hard copy grant files that meet legal and auditing requirements
  • Communicate externally with grantees and applicants, and internally with program and finance staff
  • Maintain up-to-date knowledge on all policies and procedures in other grant making areas 

Proposal Administration Responsibilities:
  • Perform as a power-user with CyberGrants, a grants management database system. Duties include assisting staff and potential grantees with any technical system issues
  • Serve as a CyberGrants subject matter expert
  • Perform data entry into CyberGrants database for contacts, organizations, grant applications, grant reports & outcome data, grant requirements, activities, and payments. Ensure consistency and accuracy of all records
  • Ensure requirements are met for incoming applications & perform due diligence needed for legal compliance
  • Manage the grant agreement and payment management process of the grant cycle

Essential Skills and Abilities:

  • Assist with special meetings or event planning -- responsible for planning and delivering all logistical details for internal meetings, customer and corporate events including venue selection, set-up, schedule, food and beverage
  • Able to handle highly sensitive and confidential information
  • Agility to multi-task and prioritize
  • Highly professional presence and ability to interface with all levels of management
  • Bachelor’s degree required
  • 5 – 6 years executive support
  • Minimum 3 years’ experience in coordinator role
  • Advanced user of PowerPoint, Excel, Word and Outlook
  • Advanced analytical, written, verbal and organizational skills
  • Experience successfully creating and/or modifying processes
  • Solid knowledge of database management
  • Flexible self-starter with ability to set and meet goals
  • Experience working within a corporate foundation or corporate contributions department a plus
  • Strong team player
