Work Arrangement: This role is categorized as onsite. this means the successful candidate to report to the GM office full time.

The Role:

Responsible for managing the administrative requirements of Chair and Managing Director as well as key Senior Executives. Duties include managing calendars, meeting schedules, staff meeting preparations, completing expense reports, travel plans and other administrative assignments.

What You'll Do:

  • Coordinate MD calendar & monthly reviews

    • Manage calendar schedules to ensure efficient and effective flow of meetings, regular meeting cadence and meeting conflicts are proactively resolved and rescheduled.

    • Deal with all function heads and manage the schedules and communications of key company executives in a timely and accurate manner.

    • Work closely with the MD & CFO and key executives to keep them well informed of upcoming commitments and responsibilities, following up appropriately.

    • Schedule monthly reoccurring leadership review meetings

    • Coordinate scheduling of meetings for MD & CFO and key executives with external employees regionally and globally and effectively manage time zone differences

  • Manage all administrative tasks for MD & CFO and key executives in an efficient manner

    • Act as the primary point of contact among executives, employees, and other external partners (distributors, government officials, etc.) pertaining to the MD & CFO.

    • Complete a broad variety of administrative tasks that facilitate the MD’s ability to effectively lead the organization.

    • Manage all travel arrangements & detailed travel itineraries.

    • Manage all external leadership business visits’ logistics & preparations fully to create a welcoming environment.

    • Support Board of Directors & Shareholders meeting organization

  • Prepare & consolidate GM Africa reports & presentations.

    • Responsible for the monthly Executive summary consolidation from the management team.

    • Manage the organizational chart for the leadership and Finance team

  • Support MD in activities related to employee engagement.

    • Organize MD monthly meetings to promote inclusion and diversity, as well as give people the opportunity to connect directly with the MD to create an open communication environment.

  • Schedule and Run Leadership weekly staff meetings and support all off-site meetings.

    • Agenda development in conjunction with Business Planner

    • Logistics arrangements

    • Minutes and action plan tracking

Your Skills & Abilities (Required Qualification)

Educational and Experience Background:

  • Previous experience as an EA.

  • English language must be at a very strong business level

  • Bachelor’s Degree

Skills:

  • Strong interpersonal skills and the ability to build relationships with stakeholders.

  • Proficiency in Windows, including Outlook, Microsoft Teams, MS Word, Excel and PowerPoint.

  • Ability to work independently and with professional discretion.

  • Excellent writing, editing and grammatical skills.

  • Ability to work with a broad range of people including executives, staff, visitors, etc.

  • Excellent management, time-management, and problem-solving skills.

  • Excellent people skills.
